What is the difference between a Candidate and a Prospect?

If you come across someone who looks like a potential fit for your organization but they haven't yet applied for a job, choose to add them as a Prospect.  You will be able to track email communications and enter notes as you normally would, but Prospects will not be part of the interview pipeline.  Once you've convinced them to apply, you can easily convert them to be a Candidate by clicking Advance on their profile page.

    can a prospect be turned into a candidate? Or must they apply before that is possible?

    Hi Amani,

    Sure! You can make a prospect into a candidate by visiting their profile and clicking "+Advance" on the right-hand side of the screen. Pick the job and stage you want to put them on, then select "Add to Job" to convert them into a candidate.

    How do you attach a prospect to a particular role?

    I've changed a candidate to a prospect, but now he is not visible under that role.
    He can be found as a prospect, but isn't linked to a role.

    I'd like to be able to view him as a prospect in the dashboard for a particular role. Is this possible?

    Hi Rebecca,

    Yes, you can assign a prospect to a specific job by going to the prospect's profile, then select 'Edit' next to 'Prospect' on the right hand side of the page. A screen will appear that prompts you to assign the prospect to a specific job(s) or office.

    can't seem to find the 'convert to prospect' button after rejecting a candidate. is that gone now?

    Thanks for writing in! The "convert to prospect" button should appear after rejecting a candidate below the name of the job on the candidate profile. Please see this screenshot link - http://screencast.com/t/icgBT3OO

    If the candidate is on another job in an active pipeline, the convert to prospect option will not appear since they are a candidate in another job pipeline. Please feel free to reach out to us via support@greenhouse.io or via chat if you have any follow up questions!

    How can I convert prospects into candidates for a same job in a bulk action? The only way is advancing them individually? Thanks.

    Is there a way to arrange an interview (call) for a prospect via the system. This candidate applied for another job and was not successful. We don't have any other suitable jobs at the moment but would like for him to speak with our head of department.

    I can just use an normal Outlook interview request and ask the manager to add a note to the system but I doubt he will! It would be helpful to do this through the system, do have it tracked and to submit feedback.

    Hi Naomi,

    Thanks for writing in! Currently, there isn't a way to schedule an interview within Greenhouse for a prospect. You will only be able to schedule interviews for individuals who are active candidates on a specific job.

    Your workaround sounds like it may be a good fit, as the note would be maintained in the prospect's Activity Feed for future reference!
