What is the Interviewing Activity report? How do I use it?

How much interviewing are you actually doing as a company? Are those interviews helping to move candidates further through your pipeline? You can figure out all this and more using the Interviewing Activity Report!

  • Candidates Entered - This column shows how many candidates were moved into a particular stage in a given period. It could contain duplicates if you moved one candidate into a stage on two different jobs.
  • Candidates Exited - This column shows how many candidates were moved out of a particular stage in a given period, not including rejections. It could contain duplicates if you moved one candidates out of a stage on two different jobs.
  • Candidates Rejected - This column shows how many applications were rejected from a particular stage in a given period. It could contain duplicates if you rejected one candidate from two different jobs. 
  • Interviews Created - The number of interviews that were created and sent to interviewers in a particular period. Meant to show how much scheduling is being done, this column ignores the date the interview takes place and only looks at when it was initially set up. 
  • Number of Interviews - The number of interviews that happened or are set to take place in a given period. Meant to show how many interviews actually took place, this column ignores the interview creation date and only looks at when it was scheduled to occur.
  • Candidates Interviewing - The number of candidates with any interviews scheduled for a given period. One candidate could have four interviews as part of a face-to-face stage, but this column will only count one distinct person for all of those interviews. It could contain duplicates if you scheduled one candidate on two different jobs.
  • Scorecards Submitted - The total number of scorecards submitted by all of your users in a given period. Assuming one is filled out for every interview that takes place, this will give you an idea of how many total interactions your staff has had with candidates.
  • Candidates Rated - The number of candidates with any scorecards submitted for them in a given period. One candidate could have four scorecards as part of a group interview stage, but this column will only count one distinct person for all of those scorecards. It could contain duplicates if you submitted scorecards for one candidate on two different jobs.

One of the best metrics you can gleam from this report is whether you're effectively using your interviewers' precious time. If scheduled interviews and scorecards submitted are relatively high, but you're mostly rejecting candidates, you might be spending too many hours interviewing people who aren't a good fit. In this case, more vetting early on could eliminate candidates who would never pass your more resource-expensive face-to-face stage anyway.

How can this report be filtered?

The Interviewing Activity report can be filtered by Department and Office (located right next to your company name), as well as Job, Stage, Recruiter, and Activity Date, which will filter each column uniquely based on the date the activity occurred. The right side lets you change the view to Job/Stage/Department, and you're able to remove App Review and Hiring Manager review stages from the report by clicking Exclude Application Review.

NOTE: Filtering by Recruiter doesn't show you that person's actions, it only shows you candidates who have that user listed as their Recruiter.

    How should we interpret Candidates entering the Offer stage, exiting the Offer stage, and rejected from the Offer stage?

    Ex. Candidates Entered in given period - 170
    Ex. Candidates Exited in given period - 51
    Ex. Candidates Rejected in given period - 85

    Thanks for writing in!

    Based on the examples you've provided, it would be that 170 candidates have entered the offer stage during that time period, 51 candidates have been moved away from the offer stage, and 85 candidates were rejected when they were in the offer stage.

    Hi Karen - thanks for responding quickly! I really appreciate it! If 170 candidates enter this stage, does this mean we are generating 170 offers? Or can candidates move into this stage without being sent an offer?

    Hi Pamela,

    If 170 candidates are entering this stage, it does not mean you are generating 170 offers. Candidates can be moved to that stage and sit there for some time before an offer is created. They can also sit in that stage without being sent an offer.

    Hi Jaclyn,

    There isn't a way to have this report automatically generated and sent to a user. You might want to check out the weekly recruiting report in configure -> notifications! It reports on different things than the interviewing activity report but can be scheduled to send out.

    hi - if we wanted to use this report to show coordinator activity it appears there is a way to do this thru the filter (use the user filter and select the coordinator).

    is this filter linked to:
    a/ details tab, responsibility, coordinator, NAME
    or
    b/job set up, hiring team, coordinator (primary)
    or
    c/ the actual user that schedules the interview?
    or
    d/ something else?

    Hi! Some reports hyperlink the totals to a list of the records where you can review each candidate. Can this report include that functionality? For example, I see that 100 Recruiter Screens occurred during a given time period. I would like to be able to click on the "100" in the report and have it link me to a list of all the records for the candidates that received Recruiter Screens during that time period.

    I am not able to create a search that gives these results (at least that I am aware of) since the search shows "any interviews" that happened in a certain time period but are still present in that stage (Search parameters - "Showing 47 candidates or prospects for Engineering Team, in Recruiter Screen, with any interviews, with interviews between 05/23/2016 and 05/27/2016") and I just want to see a list of Recruiter Screens (same for in person interviews, phone interviews, etc.) regardless of what stage the candidate is currently in.

    is this possible or is there a search that will provide this info? Thanks.
