What is 'Manual' scheduling? How do I use it?

TAG: scorecards

There are a number of different ways to schedule right from Greenhouse, but sometimes people simply prefer to do things in a native calendar instead. For anyone in this camp, we have a way of scheduling that will hopefully simplify things for you — Manual Scheduling.

After clicking Schedule Interview, click the Settings dropdown on the Scheduling Modal seen here:

In the resulting dropdown menu there is an option to select which type of calendar you want to schedule to, from that list of options select Manual

A number of fields will disappear, but you'll still be able to choose a template and make changes before copying the whole body over to your clipboard. This template always includes the interview kit URL, so any event you schedule directly from your calendar can still sync back to Greenhouse normally!

From there, just head over to any calendar program you want, add a new event, and paste in the content. After you add the attendees and schedule@ghcalendar.io, you can simply send the invites to your guests to see it appear in Greenhouse!

If we use google, is there any difference between doing this and just using the "open in google" functionality?

    Hi Victoria,

    Thanks for writing in!

The above-mentioned "Manual" method requires copy-and-pasting information into an invite while "Open in Google Calendar" takes you into Google Calendar with this information (along with date, time, attendees) already pre-filled for you.

Hope that helps! Feel free to send any follow up questions to support@greenhouse.io if you'd like any clarification :)

    Best,
    Jess

Jess - I want to assign an interviewer to a stage and send them the link to fill their Scorecard without creating a calendar invite. Ideally, instead of the "Open in Google Calendar" button, I would have a "Send Email" button. Is it possible to do that?

    Hello Hardik,

Thank you for reaching out about this! You can do so by sending this user a valid Interview Kit link. To find the valid Interview Kit link, navigate to the 'Jobs' tab, and select the Job you are interviewing for. In the right-hand column, you'll see a list of the stages in your interview process. Select the stage this Interview Kit corresponds to. This will take you a list of candidates who are active in this stage. When you hover over a candidate's name, you'll see 'Interview Kit' appear to the right. Select 'Interview Kit' and you'll see a drop-down menu where you can choose what Interview Kit you'd like to view. Select the appropriate kit, and then press 'Go'. This will take you to the kit, and you can copy the URL for this kit from your browser's address bar into the email you'd like to send to this user, so that they may fill out a scorecard without a scheduled interview in place.

    All the best,
    Mary

For office 365 users who are scheduling manually, should we invite calendar2@greenhouse.io or schedule@ghcalendar.io? Is there any difference between these two things? Also, if I'm scheduling one of my own calls manually, will it log me as the interviewer? I'd like to make sure it does since this is my intention.

    Hello Adrienne,

Thank you for reaching out about this! When scheduling manually with Outlook 365, the best course of action is to invite schedule@ghcalendar.io. When scheduling your own calls, you will indeed be logged as the Interviewer in that case.

    All the best,
    Mary
